Hunting Lease Management – HuntMaster™

HuntMaster™ is a Microsoft Access-based program used to manage a company’s hunting lease program. HuntMaster™ is a powerful tool that simplifies the hunting lease administration and execution process. The user inputs property information, lease rates, insurance rates and requirements, and hunting club information to build a manageable database that easily summarizes and produces reports used to monitor and track a company’s hunting lease program.

The user navigates through the application by a main menu that guides the user to the four main sections of HuntMaster™. Each section is menu driven by a series of push button options or tabs which guide the user to fields where the required data is input. Each field is clearly identified with respect to the required information needed to populate the database. This information includes client information, tract information, lease rates, and hunting club information. In addition, HuntMaster™ stores the information to maintain a lease history for each tract. The lease history allows the user to track financial, acreage, or lessee change through the tract ownership.

Once the database is created, HuntMaster™ tabulates the information and creates pre-designed hunting lease forms that are sent to clubs for execution. The hunting lease forms can be proprietary to a specific company or HuntMaster™ can create a standard lease form. In addition to the pre-printed lease forms, the program also creates insurance requirement letters and mailing labels.

Once the tracts are “leased,” the user confirms that the data is ready to process and HuntMaster™ automatically processes the data, transfers lease information to a disk, and prints a miscellaneous income form and the required insurance information. The printed information and disk are distributed to the appropriate company departments for review and approval. The insurance is sent directly to the insurance company so a certificate of insurance can be prepared.

After the hunting leases are entered and processed, HuntMaster™ has the ability to summarize the data to assist the user on the current status of the lease program. Some of the reports included in HuntMaster™ are:
 

• Hunting Lease Summary Report – summarizes leased acres by a rate/acre range. Also informs the user of the number of tracts not leased this year but leased last year. Also shows a comparison between last year’s program and this year’s program.
   
• Leasable Tracts by County – summarizes all of the leases by county. Includes acre, rate, total price, and leasable status information.
   
• Tracts Leased or Tracts Not Leased – reports showing which tracts are available for lease and which tracts cannot be leased due to external influences (safety, houses, etc.).

These reports can be printed or viewed. HuntMaster™ is not limited to these reports. Current reports can be modified to meet company requirements or new reports can be developed as needed.
